This page contains a monthly summary of the most significant changes made to the Practice Manager program over the last few months. The latest version of Practice Manager is dated 19/03/2008. Please refer back to this page each time you load an update CD or use the "Internet Update" facility so that you can see what has been changed and what new facilities have been added.   Older release notes can be viewed by clicking here.

March 2008

 

Transcription Bureau Service

DGL has now successfully completed its trial phase of providing integrated links between Practice Manager and carefully selected partner Transcription Bureaus. This allow you to dictate into Practice Manager (or digital dictation device), and have the dictation automatically submitted to one of our partner bureaus for transcription.


Practice Manager can then check on the progress of the transcription, and when complete automatically retrieves the text and insert it into the correct letter template ready for final proof reading and printing. The service is charged on a competitive "per-line" basis, with no minimum commitment and no contracts.

CCSD Codes Update

The CCSD Codes have been updated to include changes made in Bulletin 0033.

Dictation / SMS / Address Lookup Credits

You can now purchase additional Dictation Credits or SMS / Address Lookup Credits directly from within Practice Manager using your credit card details. Credits purchased using this method are added to your account instantly.

Online Form Library

The time taken to download the on-line form library from the internet has been greatly improved. Additional forms have also been added into the Online Form Library. These include:

Import Scanned Documents

A new option has been added into the Correspondence menu to allow you to import multiple scanned documents, whether in PDF or in TIFF file format. This is of particular use to customer who use Canon ScanSnap scanners, which automatically scan documents into a folder on your computer.

Sony Dictation Devices

If using the Switch converter software, you can now import Sony DVF format dictations into Practice Manager.

CCSD Codes Update

The CCSD Codes have been updated to include changes made in Bulletin 0031.

Patient Details Screen

The "Alternative Billing Address" sections now allows you to record a separate mobile
telephone number (ie, for the parents/guardian/etc).

Online Form Library

The time taken to download the on-line form library from the internet has been greatly improved.

Additional forms have also been added into the Online Form Library. These include:

  • BMI Booking Form (Generic, as used by many BMI hospitals)
  • BMI Clementine Churchill Spinal Care Booking Form
  • BMI Lincoln Booking Form
  • BMI Gerrards Cross Booking Form
  • Spire Cambridge Lea Booking Form

SMS Text Messages

The SMS text messaging infrastructure has been improved, meaning that the "status" of any sent messages is now updated much more quickly. Previously is may have taken a while for status changes to filter down from the mobile operator networks through to Practice Manager, where as now status changes are received almost instantly.

The SMS Status Reports now show the number of credits that each message cost, along with the total number of messages and the total number of credits.

Supplier Directory

The size of the Email address field in the Supplier Directory has been increased to allow for long email addresses.

Reminder Letters

When using the "Individual Reminder" facility, a warning is now shown if the patient or invoice selected has been marked as "Do not remind" from the "Automatic Reminders" list.

Exporting Clinic Diary

When using the "Export Clinic List" facility (to save the clinic diary into a .CSV file so that it can be imported into other software) you now have the option of including/excluding the "Date of Birth" and "NHS Number" fields.

CCSD Codes Update

The CCSD Codes have been updated to include changes made in Bulletin 0030.

BUPA Ophthalmic Prices

Due to recent changes in the way in which BUPA pay varying amounts for certain ophthalmic procedures, the next time you invoice for a phakoemulsification procedure Practice Manager will ask you how much you wish to charge. Your preferred fee will then be remembered for future use.

New "Secure Email" facility

A new "Secure Email" facility allows you to sent a document via email in an encrypted form.

The problem with traditional emails is that they pose a substantial data protection risk. Emails are passed between any number of internet servers before they reach their intended recipient, and can be intercepted at any stage along the way. There are various methods to encrypt emails, but they all either rely on both the sender and recipient having installed the same encryption software, and/or both parties agreeing on passwords prior to any mail being exchanged.

The Secure Email facility in Practice Manager gets around these problems by encrypting the attachments and then sending the corresponding password as a SMS text message to the recipient's mobile phone. In order to read the contents of the email the recipient must have both the encrypted email AND the password from the SMS text message. If the email is intercepted en-route, it is practically useless without the corresponding text message password.

Secure emails can be send either from the "Previous Letters" screen, or whilst a letter is still on-screen in Microsoft Word by clicking the "Send Secure Email" option in the DGL Toolbar.

Dictation / Transcription

The "Transcribe Letter" facility is now compatible with the Olympus RS USB foot pedals, such as the ones included in the Olympus AS-2300 transcription kits. This is in addition the existing compatibility with the Philips transcription pedals.

The "Dictate Letter" option in Practice Manager can now be used with a Philips SpeechMike without needing to install or configure the Philips software.

When using a Philips SpeechMike, it is no longer necessary to install and configure the SpeechApp / SpeechExec software supplied by Philips, as Practice Manager can now communicate directly with these devices.

When using a Philips SpeechMike, the "recording" light on the front of the device now flashes whilst recording is in progress.

When going into the "Transcribe Letters" list, if you are using the Transcription Bureau service you will be asked if you want to check for newly completed transcriptions from the Bureau.

Clinic Diary

Various changes have been made the Clinic Diary system, including:

  • A new "Theatre List" tab has been added, allowing you to view both the Clinic List and the Theatre List from the same screen.
  • If you add a "Theatre" session onto the Clinic List, double-clicking the session will take you to the corresponding Theatre session.
  • You can now add Theatre sessions into the Diary Templates, thereby creating recurring theatre sessions.

Online Form Library

Additional forms have been added into the Online Form Library. These include:

  • BMI Mount Alvernia Patient Booking Form
  • Royal Surrey County Hospital - Nuclear Medicine Private Referral Form
  • Galway Clinic Booking Form

Patient Notes

In the "Handwritten" section of Patient Notes, you can now "Paste" pages of hand-written notes taken on devices such as the AceCad DigiMemo.

Outlook Security Warnings

When using Practice Manager with Microsoft Outlook 2003 or Microsoft Outlook 2007, Outlook no longer displays the "Another program is attempting to access your email" warnings.

Laboratory Results

When emailing laboratory results, the PDF file created is now in colour so that abnormal results are better highlighted.

When graphing laboratory results (ie, graphing a current test result against previous results for the same patient) the graph now shows the patient name and date of birth more prominently, along with the date of the result.

Printed Result Graphs now show the "reference range".

A new button on the Result Graph allows you to copy the graph to the Windows Clipboard, so that it can be pasted into correspondence or any other program.

SMS Text Messages

You can now send SMS Text Messages which are longer than the standard 140 character. Longer messages are split into "blocks" of 140 characters, with each block being charged as one credit. The maximum size of a single message is 4 blocks.

Patient Search

When searching for a patient, the details shown on the Patient Search screen now include the patient's Insurance Membership Number, and their Mobile Phone number if recorded.

Hosted Server / Terminal Services

If running on one of the DGL Hosted Servers, or from a Terminal Services connection, when quitting out of Practice Manager you are now asked if you want to log-off your remote session.

CCSD Codes Update

The CCSD Codes have been updated to include changes made in Bulletin 0029.

Patient Details Screen

The Patient Details screen has been re-designed to show the patient's mobile phone number more prominently. A new scroller has been added to allow you to scroll between the various contact numbers. (This is in addition to being able to view all contact numbers using the "Tel No's" tab.)

When using the "New Appt" button to make an appointment, the pop-up calendar is now colour coded to indicate which dates have availability etc.

A new option has been added to the "Correspondence" menu at the top of the Patient Details screen, allowing you to view all SMS text messages sent to a patient, and any replies they have sent.

Online Form Library

Additional forms have been added into the Online Form Library. These include:

Norwich Union Fees

The Norwich Union Fee Schedule has been updated to include recently added procedure
codes and alterations.

Theatre Lists

The Theater List screen now allows you to set a theatre session "end time". When used in combination with the session "start time" and recording the estimated length of each patient's theatre slot, you can now view theatre availability.

Cancelling In-Progress Invoices

When amending an in-progress invoice, clicking "Cancel" (or pressing [Escape]) now prompts you type in the word "YES" before allowing it to be deleted. This is to help prevent the invoice from being accidentally deleted. If you want to leave the invoice in-progress rather than raising it or deleting it, click "OK" followed by "Leave In-Progress".

Analysis Codes

You can now assign Analysis Codes to Consultations if required.

Undo Individual Reminder

In addition to the existing option to "undo all reminder letters send on specified date", you now have the option to undo an individual reminder. This may be of use if you print off the automatic account reminder letters and then decide that you do not remind a particular patient yet.

Wide-screen Monitors

Additional background images have been included so that the Practice Manager background isn't distorted when using a wide-screen monitor or a normal monitor running at a high resolution. These new background images can be selected via "Misc, Preferences, Main Menu Preferences". Click the search icon next to the background picture, and select the size that best suits your screen.

BUPA Ophthalmic Prices

BOA Consent Forms

The Online Form Library now contains 43 downloadable orthopaedic consent forms endorsed by the British Orthopaedic Association. The forms have been developed by Mr Amit Atrey, Mr Paul A Gibb, Mr Ian Leslie, Mr John Shepperd, Mr John Carvell and Mr Chinmay Gupte.


It is entirely the customers responsibility to ensure the forms are accurate and tailored to their individual practices. DGL, the BOA, the authors and the sponsors do not accept any responsibility for legal accuracy.


The Online Form Library can be accessed via "WP, Layouts, Letters", then click on the "Online Form Library" button.

New "Waiting List" facility

A new "Waiting List" facility has been added into the "Lists" menu which allows you to create any number of different waiting lists for different services (Medical Reports, Operations, etc). You can then add patients into a waiting list, assign them a priority, and track how long they have spent waiting.

"To-Do List"

The "To-Do List" has been improved in the following ways:

  • When adding a "to-do list" entry, you can now link the entry to a patient.
  • When accessing a patient from the Patient Details screen, a warning will be shown if there are currently any outstanding entries on your "to-do list" for the selected patient.
  • All "to-do list" entries for the selected patient can be accessed from within the Patient Details screen via the "To-Do" list option within the "Lists" menu.

Banking

When receiving money via either the "Additional Income" or "Deposit" screens, you are now forced to select a "Payment Method" from the list to ensure consistency within the Banking and Paying In Book screens.

In-Progress Invoices

When using the Raise In-Progress Invoices screen, the list now shows if each invoice is being sent to a third party (such as an Insurer or Solicitor)

CCSD Codes Update

The CCSD Codes have been updated to include changes made in Bulletin 0026.

Patient Recall Letters

When printing automatic patient recall letters, the letters (and any accompanying envelopes or labels) are now printed in the same order as shown on screen. This allows you to change the order of the report before printing the letters, so that the letters are either printed alphabetically, grouped by recall type, grouped by specialist, etc.

Remote Dictation/Transcription

When transcribing letters using Terminal Services or DGL's Hosted Servers, the quality of the audio playback is now greatly improved. This is because the recorded dictation is now transferred across to your local computer, rather than being played back across the internet connection. This also increases the responsiveness of the transcription foot pedals. Please update the Remote Monitor utility on your local computer to be able to make use of this.

Emailing Dictation

All dictated letters which are awaiting transcription are listed in the "Transcribe Letters" report. You can now right-click on any dictation and select "Email as attachment". This will create a new email message with the dictation already attached, enabling you to email it to a third part transcriptionist.

Remote Document Scanning

If running Practice Manager via Terminal Services or from one of DGL's Hosted Servers, the RemoteMonitor utility which runs on your local computer has been updated:
When scanning documents, you can now "crop" the image so that only the required area of the scan is stored. This makes sending the scanned image back to the Server faster, as less image has to be transferred. You can now scan paper notes into the Patient Notes screen.

Copy / Paste Documents

As an alternative to dragging/dropping documents onto Practice Manager from external sources (ie, dragging a document from disk), you can now right-click the original document, select 'Copy', then right-click in the Practice Manager main screen and select 'Paste'. This method allows you to import documents, photos, scanned documents, dictations, etc without using drag and drop. This is especially useful when running via Terminal Services or a Hosted Server where drag/drag is not available.

You can also right-click and Paste any file into the "multimedia" section of Patient Notes. This includes documents, photos, video clips, Microsoft Journal files, etc.

Additional forms have been added to the Online Form Library, including :

New research screens have been added to the online library including:

Word 2007 compatibility

A new option has been added into "Misc, Preferences, Correspondence Preferences" which allows Word 2007 users to force all documents to be saved in Word 97 format. This ensures that the documents can be opened by older versions of Word. This is especially important to Network or Clinic Merge users, where users may be using different versions of Word on different computers.


When emailing copies of letters, Practice Manager now automatically converts the letters from Word 2007 to Word 97 format to ensure that the ecipient can open the document correctly.

Outlook 2007

Attachments can now be dragged/dropped from Outlook 2007 email messages onto the Previous Letters screen.

CCSD Codes Update

The CCSD Codes have been updated to include changes made in Bulletin 0026.

VAT Reports

The "Detailed VAT Reports" have been re-designed. They are now printed in landscape format to provide more room for each entry, and include columns showing patient names for invoices and supplier names for outgoing expenses.

Reminder Letters

The time taken to generate the list of reminder letters to be sent has been significantly reduced. Also, the "Show/Hide" button now allows you to add a "Weeks" columns onto the report, showing the age of each invoice in weeks since raised.

Clinic List

The list of options presented to you when you right-click on an appointment from within the Clinic List now includes "Deposit" and "Club Billing".

Graphs

All graphs now have the ability to change the number of columns shown per page.

Credit Card Details

When entering credit card details, a warning is now shown if card has expired. When retrieving previously stored card details, the same warning is also shown.

The VHI codes/fees have been updated to include changes to the "Schedule Of Benefits for Professional Fees July'07"

Custom Clinical Research Screens

Additional research screens have been added to the on-line library of research screens for you to download. These include:

  • Subjective Forearm Evaluation (for Tennis & Golfers Elbow)
  • Oxford Shoulder Instability Outcome Score
  • Oxford Shoulder Pain Outcome Score

Raise In-Progress Invoices

The "Raise In-Progress Invoices" screen has been amended so that all currently in-progress invoices are initially unticked, to prevent them being raised by accident. A new "All" button has been added allowing you to select all invoices in one go..

Internet Update

The "Internet Update" process has been improved to make the downloading of updated versions more reliable.

Hospital Billing

When using the "Multiple Payment" screen to record several invoices being paid off with a single payment, there is now a new option so that you are only prompted to print a receipt for shortfall amounts. For example, when receiving a single payment from an Insurer for several patient invoices, you can send shortfall letters for those patients who require shortfall notifications without being prompted to send receipts for invoices settled in full.

Multiple Payment Receipts

The "Hospital Directory" now allows you to specify a default "charge band" for each hospital, so that the correct fee scale will automatically be applied when billing that hospital directly.

Import Dictation

Practice Manager will now import dictations recorded in MSV format (Sony Memory Stick Compressed Voice File) and DCT format (used by the Express Dictate software for Mac/PC, Pocket Dictate voice recorder for Pocket PCs, and Palm Dictate for Palm PCs). Files in either format can either be imported using the "Import Dictation" option, or by dragging/dropping the files onto the Practice Manager Main Menu screen. Because of licensing restrictions associated with these file formats, a small 3rd party utility is required costing around $US40 (approx £20). Please contact DGL for details. (Not required if using DGL's Hosted Servers)

CCSD Codes Update

The CCSD Codes have been updated to include changes made in Bulletin 0024 .

Spell Checker

Practice Manager now has a built-in spell check facility complete with a 133,000 word medical vocabulary relating to anatomy, diseases, health care and drug names.

This can be used to check the spelling within any field and can be activated by pressing the key combination [CTRL]+[ALT]+[S] at any time (however you can change the hot-key to anything you like via "Misc, Preferences, Hotkey Preferences"). Please note that this only works whilst in Practice Manager. For details of obtaining a medical spellcheck for Microsoft Word, please contact DGL Sales.

Patient "Form Of Address"

The Patient Details screen now has a new facility which allows you to over-ride the patients form of address. You can change how the patient is referred to in addresses (ie, Her Royal Highness The Princess Of Buckingham instead of Mrs Jane Windsor, or John Smith, Esq.) and their salutation in letters (ie, Your Royal Highness instead of Dear Mrs Windsor). This option can be accessed via the More button next to the Salutation field.

Clinic List - "Attendees"

When adding a new appointment, there is now a Other attendees? option, which allows you to select multiple diaries for the appointment to be added into. The same facility has also been added to the Meetings option.

Document Scanning

When scanning a document there is now an option to be able to send notification to another user. The selected user will then receive a message letting them know about the scanned document, with an option to view it.

Custom Clinical Research Screens

Additional research screens have been added to the on-line library of research screens for you to download. These include:

  • Oxford Knee Score
  • Botox Injection Record
  • Dermal Fillers
  • Cosmetic Assessment
  • Cardiac Wall Motion Scoring

Norwich Union Fees

The latest changes to the Norwich Union fee schedule are now included.

Microsoft Word 2007

Additional changes have been made to improve the previewing of previous correspondence which were created with Word 2007.

RemoteMonitor

A new version of the RemoteMonitor utility is now available for users who access Practice Manager via the Hosted service or via Terminal Services.

Digital Photos

The Print option in the View patient photos screen now gives you the choice of printing in high or low quality. The low quality option reduces the appearance of the printed images, but takes considerably less time to print.


When viewing photos from within the EPR (Electronic Patient Record) screen, you can now right-click on a photo to access the Quick-View and Annotate Photo options.

BUPA Charges

The latest changes to the BUPA schedule are now included, as some procedures have been re-classified into different complexity levels.

Public Holiday Dates

The Clinic Diary now contains all public holiday dates for the England & Wales, Scotland, Northern Ireland and ROI up to the end of 2009.

DICOM Images

The option to import DICOM format images has been changed to allow the reading of images directly from CD/DVD.

Outgoings Reports

The Outgoings by Payment Group reports have been improved so that the group names and sub-totals are more prominent and so that details of any sub-groups are listed together with their parent groups.

Online Form Library

Various new forms have been added to the on-line form library for you to download and use in Practice Manager. These include numerous Psychiatric insurance related forms.

Date Styles

Additional date styles have been added. These can be changed via the Billing Preferences screen.

Operation Note Field Codes

You can now use any field codes associated with Operation Notes within normal letters. Previously these field codes only applied within documents generated via the Operation Note screens. If the patient has more than one operation note, Practice Manager will assume that you are referring to the most recent entry.

Billing

The "seen at" field for each invoice item can now be made into a mandatory field, thus ensuring that it recorded for all services (and thereby improving any reports/statistics based on hospital or location). This can be enabled via Misc, Preferences, Billing Preferences, Options, Mandatory Fields.

Detailed Statements

The Detailed Statement for a Patient's account now shows the Analysis Codes allocated to each invoice item.

Digital Photos

The Print option in the View patient photos screen now gives you the choice of printint in high or low quality. The low quality option reduces the appearance of the printed images, but takes considerably less time to print.

Custom Clinical Record Screens

The online library of Custom Clinical Record Screens now includes the following new screens:

  • ENT Assessment Form
  • Snoring Assessment Form
  • Cosmetic Assessment Form

VAT Reports

New reports are now available to report on VAT on both Invoiced Raised and Cash Received basis.

Patient Photos

You can now import, store and view DICOM files, which are the industry standard image files generated by many medical devices such as Ultrasound, MRI and CT scanners.

When viewed, you can perform contrast adjustments and take detailed measurements.

Imported photos can now be annotated, allowing you to draw over the top of the photo. To do this, right-click a photo from the "View patient photos" screen and select "Annotate".

Importing Dictation

In addition to the usual WAV and WMA format files, Practice Manager now allows you to import MP3 and DDS (Philips/Olympus) format files. Because of licensing restrictions associated with these file formats, a small 3rd party utility is required costing around $US40 (approx £20).

Online Lab Results

A new "Report on Requested Lab Results" has been added, allowing you to view / analyse all requested Lab Results.

The colour scheme used when graphing lab results has been changed so that the graph is clearer when printed using a black and white printer.

Notes/X-Ray/Result Tracking

The Notes/X-Ray/Results tracking list, normally accessed from within the Patient Details screen, can now be accessed via a new option within the Patient Notes menu. This new screen lists all items which have been requested, highlighting any overdue items in red. New items can be added, or existing items can be updated.

Clinic Times

The "Clinic Preferences" screen now allows you to change the minimum and maximum times shown on the "timeline" view of the diaries (View 2). Previously this view of the diary only showed 7am to 9pm, but you can now change these min/max times if you hold clinics outside these hours.

Prescription Allergy Warning

When creating a prescription via the Electronic Patient Record system, if the patient has any allergies recorded the system now shows the allergy details and waits for your confirmation before continuing.

Patient Statement (Summary)

When clicking "Print" in a Summary Patient Statement you now have the choice of printing in either a "Statement" style or a new "Report" style.

"Bulk Move Notes"

A new facility has been added to allow you to quickly update the "Location of notes" for a number of patients. For example, if you are moving a large number of patients notes to a storage archive, you can now just list the patients who are being moved rather than having to update each of their Patient Details screens individually. This new option is called "Change Location Of Patients Notes" and can be accessed via the "Patient Notes" option in the "Patients" menu.

CCSD Codes

The latest amendments to the CCSD coding system are now incorporated.

Norwich Union Fees

The Billing system now includes recent amendments made by Norwich Union to their fee schedule.

Theatre Lists

When adding a patient onto a Theatre List, you can now record Indications.

Clinic List Letter

A new option called "Write to all patients on this clinic" has been added into the Correspondence menu at the top of the Clinic List screen. This provides a quick and easy way to send a standard letter to all patients with appointments on the clinic you are currently viewing.

Mailshots

When sending mailshot letters, you can now store a copy of the letter into each persons Previous Letters list.

SMS Text Messaging

The Patient Details screen now has SMS Text Messaging option in the Correspondence top menu. This allows you to send text messages to the currently selected patient, and to view a list of texts that you have previously sent to the current patient.

Estimates

Estimates can now be sent to GPs, Hospital, Solicitors, etc.

A new Quick Estimate button has been added, which allows you to generate an estimate for commonly used items. This works in the same way as the Quick Invoice button in the Billing screens.

Fee Splits

If you record Fee Splits for specialists based on a percentage of the service fee, changing the fee now asks if you want the Fee Split to be re-calculated.

Photo Scanning on Hosted

The scanning of photos is now supported on Hosted systems.

Operation Notes

Searching for a procedure code now allows you to swap between the CCSD, OPCS and VHI coding systems.

Security

A new security level has been added to allow you to restrict access to Clinic/Theatre reports.

Operation Fee Maintenance

When adjusting all operation fees by a given percentage, the percentage can now contain a decimal point, allowing for changes such as 4.5%

*** Windows Vista ***

Practice Manager is now compatible with the long awaited Windows Vista operating system.

If you are considering upgrading to Vista, please contact DGL for additional information PRIOR to upgrading.

DGL would strongly recommend only using Vista on a new "Vista Capable" computer, as Microsoft do not guarantee compatibility or stability on older hardware.


*** Microsoft Office 2007 ***

Practice Manager is now compatible with Microsoft Office 2007. Please note that only "registered" versions are compatible, and not Beta or Trial versions.

If you are considering upgrading an existing computer to Office 2007, please be aware that Word 2007 is radically different from previous versions and will require a period of adjustment.

Please also note that Microsoft prohibits the use of the "Home And Student" version of Microsoft Office 2007 for all "commercial use" (which includes any business related activity. Whilst Practice Manager should run correctly with this version of Office, doing so would breach your Microsoft License and is therefore not recommended or supported.

Changes to the Clinic Diary

The following changes have been made to the Clinic List screens:

A new "Diary Templates" facility allows you to set up an number of "common" diary schedules. For example, you may have a "Standard Monday" template consisting of available slots for patient appointments from 9am to noon, then an hour for lunch, then 3 hours of appointments followed by a 45 minute management meeting. By defining this schedule as a Diary Template, you can easily apply the template onto any given dates.

Template "Recurrence" allows you to automatically apply a Diary Template to the diary following a set pattern. such as "Every Monday", or "First Tuesday of each month"

Any previous settings for morning/afternoon clinic times will be automatically converted into templates named "Monday" to "Sunday", with each being set to recur weekly.

The calendar shown on the Clinic List screen now shows any dates that only contain either "Unavailable" or "Holiday" bookings in red.

A new option in Clinic Preferences "Add available slot on delete?" allows you to specify if deleted appointments should be replaced with "available" slots, or left blank.

Scanning on Hosted / Terminal Services

When scanning documents from a remote PC onto either the Hosted Server or a Terminal Services Server, the time taken to transfer the scanned images is now considerably faster. This is because the scanned document is now transferred as a separate process, allowing you to carry on scanning the next document whilst the first is still being copied.

Importing Documents

Practice Manager will now allow you to import files ending with a ".DOCX" extension, as used by Word 2007.

Non-Invoiced Appointments

The report on non-invoiced appointments now includes a tick-box to specify whether it should only include appointments marked as "attended" or not.

Outgoing Payments

Practice Manager now gives a warning if you try to record two outgoing payments to the same supplier on the same date, or two payments to the same supplier with the same "Their Reference" number.

Directories

The "User Defined Fields" for the GP Directory, Solicitor Directory and the Clinician Directory can now be made into drop-down lists, allowing you to select commonly used options rather than re-typing them each time. These can be set via "Misc, Preferences, Directory Preferences"

If you access the "Previous Letters" screen via any of the "Directory" screens (GP, Solicitor, Insurer, etc) you now have the following options allowing you to store all non-patient related correspondence against each person/company :

  • "Import Letters"
  • "Import Scanned Document"
  • "Import PDF Document"
  • "Import Email""

Non-patient related documents (including Letters, PDFs, Emails, etc) can also be drag/dropped onto the Main Menu screen. Once dropped, you can select whether the documents should be filed against a patient, GP, Solicitor, etc, and then select the relevant person/company.

Allergies

A new option has been added to the "Clinical" menu within the Patient Details screen. This allows you to record details of any allergies for the selected patient. Once recorded, each time that patient's details screen is viewed an allergy warning will flash in red at the bottom of the screen. This warning can then be clicked on to view the relevant details.

User-Defined Billing Codes

When adding new "User Defined Billing Codes" you can now add an unlimited number of additional lines of description which will be printed on the invoice along with the name of the billing code. This allows you to have a billing item called "Medical Report", but also give a full description of what this service includes.

Automatic Reminders

The "Automatic Reminders" list, showing which invoices are due to be sent reminder letters, has been changed in the following ways:

You can now use the "Show/Hide" button to add additional columns onto the report (including Telephone Number, Mobile, Email, etc.

The "Save Report Layout?" tick-box allows you to store the current layout of the screen for future use. (ie, any customisations you have made such as re-arranging columns, changing the sort orders, etc)

The new "Export" button now allows you to export the list of reminders to MS Excel, XML, CSV or PDF format files.

Account Stationery

It is now possible to specify a different "Footer" to be used on account stationery based on the hospital to which the invoice relates to. This is in addition to the existing option which allows you change the account "Header" based on the hospital.

Store copies of Sent Emails

When clicking the email icon next to any email address stored in Practice Manager, the email you create is automatically added to that person's "Previous Letters" list. (Microsoft Outlook only)

CCSD Codes Update

The CCSD Codes have been updated to include changes made in Bulletin 0018, dated 31/12/2006.

Logon Screen

The logon screen has been re-designed to allow for longer consultant / clinic names. If any entries in the list were previously abbreviated, please contact Customer Support for instructions on how to change the name to its full version.

Dictation/Transcription.

Various changes to Dictation/Transcription screens, including :

Importing dictations now keep the same "Author" selected until changed. ie, if you importing a whole clinic's worth of files, you no longer have to specify the author each time.

When importing WAV format dictation files, the original WAV file is stored along with the newly created WMA file. This means that when you go to transcribe the document, it does
